How to Create a Private Photo Gallery for Your Company

Here at Trovebox, we’ve helped users organize photo collections of all kinds: public galleries, private internal collections, and some combination of the two.

Today we’re going to talk about creating a completely private gallery for your organization. We’ve talked previously about keeping your photos secure, so let’s shift our focus to keeping your gallery hidden from the world.

We take many steps to make sure your internal photo collection is as private as it can be, but there are a few steps you can take as well.

Managing individual photos

Your photos are uploaded as private by default, no matter who’s uploading them. We chose this as the default setting for the privacy of your photos. You can change this setting when uploading an individual photo or set of photos.

If a photo is accidentally uploaded as public, you can change it back easily. Click the lock on the photo’s page to change a photo’s setting back to private.

Managing your album and tag pages

Your album page shows all the albums you’ve created on your Trovebox site. Albums themselves have no privacy setting; instead they inherit the privacy setting of their photos. This means that if any of your photos are public, the album will appear to visitors in your album page. But if all the photos in that album are private, then visitors won’t see that album.

The same applies to tags. If all the photos with a given tag are private, then visitors won’t be able to see that tag.

If all your company’s photos are private, then no albums or tags will appear at all, and any site visitors will be none the wiser.

A look at your recent activity

Your recent activity shows your most recently uploaded photos. If all of these recently uploaded photos are private, they won’t appear in the recent activity.

Your activity feed will then appear as empty to visitors who don’t have access to these photos. And then any site visitors will have no idea of what goes on behind the scenes.

How to hide your Trovebox site from search engines

If you want to maximize the privacy of your Trovebox photo gallery, chances are you don’t want random people from the Internet to stumble across the site. Even if all your photos are marked as private, hiding your site from search engines will ensure that a minimum of people will know of your site’s existence.

To enable this option, visit your Trovebox settings and click the checkmark next to “Hide my site from search engines”. Once you’ve saved your settings, we’ll do the hard work of hiding your site, and you can resume organizing photos and making order out of your chaotic collection.
